Booking Conditions

Please read the following booking terms and conditions carefully, as they set out the terms and conditions of the contract between you and East Cape Tours. The following terms of use govern the use of the East Cape Tours websites and services. Please read these terms and conditions carefully before you accept these Terms by: (a) placing an order and/or an enquiry through the use of any of our contact forms on our Websites (or any other method of contact), or (b) otherwise using the Websites. If you do not agree with all of these terms and conditions, do not make use of the Fifth Avenue 4×4 Adventure Tours websites and services.

East Cape Tours acts as an agent and not a principal under SARS VAT interpretation note no. 42.

Bookings

Bookings, except for late bookings, are confirmed on the condition that a non-refundable deposit, of a minimum of 25% of the total package price, is paid to East Cape Tours within 24 hours of confirmation of your booking/s. You will be advised at the time of booking what payment is required for your chosen travel arrangements. Please note that many service providers require 100% pre-payment within 24 hours of confirmation nowadays. The balance of the cost of your travel arrangements must be paid no less than nine weeks prior to departure. If your booking is made within nine weeks of departure, the total cost of your travel arrangements must be paid at the time of booking.

Please note that failure to pay on time will result in the automatic cancellation of your booking.

Methods of Payment

East Cape Tours banks with First National Bank and Nedbank South Africa and make use Nedbank’s 3D secure credit card payment system for payment processing. A payment link will be sent to your email address via Nedbank Iveri Divert, which means East Cape Tours and their staff do not have access to your credit card details. Cash or EFT Transfers: We accept cash and EFT transfers. All payments need to be made in full and all bank charges are to be for your own account.

Travel Insurance

We consider adequate travel insurance to be essential. All premiums must be paid at the time of booking, as cover will not be effective until then. Fifth Avenue 4×4 Adventure Tours will not be liable if anyone should fail to take adequate insurance cover.

Air and Train Tickets

The air, train fares and taxes quoted are current and are subject to change without prior warning should the airline or train travel provider impose an increase in rates for any reason. Should the fare quoted not be available at the time of booking, the next applicable fare will be booked and amended costs advised accordingly. Please note that fares may increase between time of booking, time of payment and the ticket being issued. East Cape Tours cannot be held responsible should airlines or railway operators discontinue flights or train journeys on certain routings or change scheduled timetables resulting in missed connections. Should an amendment in routing or itinerary be necessary, any additional costs incurred will not be borne by East Cape Tours. Airfares and train fares are subject to the prices and conditions quoted by the particular airlines and/or railways and cannot be guaranteed by East Cape Tours. The onus is on the agent and the passenger to check that there have been no changes in these prices before making final payment thereof.

Flights purchased on the clients’ behalf will be subject to the airlines’ terms and conditions.

Flight and Train Travel Timings

Flight and train travel timings and other timings are provided by airlines and railways and are subject to Air Traffic Control restrictions. All means of transportation are subject to weather conditions, the need for constant maintenance, and the ability of passengers to check-in on time. There is no guarantee that flights, ferries, ships, trains or coaches will depart at the times stated on any itinerary, voucher or tickets which you receive. All timings are estimates only, and we do not accept any liability for any delay, however arising, or for any schedule alterations.

Flight and Train Travel Reconfirmation

It is your responsibility to ensure that you reconfirm the departure date and times of all your flight arrangements and train journeys at least 72 hours prior to departure. This is particularly important in respect of subsequent train journeys in South Africa and flights leaving South Africa. East Cape Tours hereby specifically excludes any liability and cannot be held responsible for any direct, indirect, special, incidental or consequential damages that may arise for any delay and/or travel service provider failure i.e. accommodation needed, car hire, shuttle service and/or any other loss as a result of your failure to reconfirm flight, train journeys and/or connecting flight details.

Documents

All vouchers are only prepared on receipt of full payment of the package price and will be ready 72 working hours after payment has been received. Should you require hard copies of your documents and air tickets to be forwarded to either yourself or the departure airport and or train station, this may be arranged. These will be sent by e-mail. However, the courier costs in respect thereof will be for your own account.

It is important that you check all details of your travel documents before travelling. If there are any inaccuracies on any of your travel documents, or should you have any further queries, you should contact your agent immediately. East Cape Tours will not be liable for any delay and/or loss occasioned as a result of any inaccuracies on any travel documents once you are in receipt thereof. Passports, Visas and Health.

It is entirely the clients duty to ensure that all passports and visas are current, valid, obtained on time and will be valid for 6 months after return to home country; and that any vaccinations, inoculations, prophylactic (e.g. for malaria) and the like have been obtained where required. This also includes all necessary documentation required for travelling with minors. This also includes all necessary documentation required for travelling with minors. There are specific requirements for children under 18 travelling to South Africa, including but not limited to unabridged birth certificates.

Passports, VISAS and Health

It is entirely the client’s duty to ensure that all passports and visas are current, valid, obtained on time and will be valid for 6 months after return to home country; and that any vaccinations, inoculations, prophylactic (e.g. for malaria) and the like have been obtained where required. This also includes all necessary documentation required for travelling with minors.

Forced Changes to your Package

We hope and expect to be able to provide you with all of the services we have confirmed to you at the time of booking. We plan arrangements as long in advance of your holiday as you allow, using independent suppliers such as hotels etc. over whom we have no control. On rare occasions, changes do have to be made, and we reserve the right to make these.

Should events beyond our control occur such as COVID restrictions, host or home government policies, notwithstanding the above we will without penalty reschedule the booking for a period up to 2 years from the date of arrival. This applies up until 5 weeks prior to arrival, we will do our utmost to assist after this point but this will be subject to the policies of the individual properties.

Cancellation Terms

Cancellation prior to 9 weeks of travel – full 25% deposit is forfeited;
Cancellation 9 – 6 weeks prior to travel – 50% of total cost is forfeited;
Cancellation less than 6 weeks prior to travel – 100% of total cost is forfeited.
